WEST VALLEY TCG EXPO
VENDOR RULES AND REGULATIONS
VENDOR CHECK-IN
• Registered vendors may be required to present valid ID at check-in
• Maximum two people per vendor table including staff unless otherwise approved by event staff
SETUP AND BREAKDOWN
• Tables and chairs will be set up prior to vendor arrival
• Vendors are responsible for setting up their own merchandise
• Vendor tables must remain in their assigned locations. Tables may not be moved
• Vendors must be fully set up before the event opens to the public
• Vendors must remain set up until the event has officially ended
• Early breakdown is not permitted unless approved by event staff
• Vendors may only use their assigned tables and space
• Additional tables or displays are not allowed unless approved
• Vendors may bring one small display shelf per table
• No amplified music or speakers are allowed at vendor tables
PRODUCT REGULATIONS
• Vendors may sell trading cards, sealed product, and related card accessories
• All items must comply with local, state, and federal laws
• Stolen, counterfeit, or unauthorized merchandise is strictly prohibited
CONDUCT AND BEHAVIOR
• Vendors must conduct themselves in a professional and respectful manner
• Harassment, threats, aggressive behavior, or discrimination will not be tolerated
• Vendors are responsible for keeping their area clean and free of trash
SECURITY AND LIABILITY
• Vendors are responsible for their own merchandise and personal property
• The event organizers, venue, and affiliates are not responsible for loss, theft, or damage
• Vendors agree to defend, indemnify, and hold harmless West Valley TCG Expo, its staff, affiliates, and the venue from any claims, damages, or liabilities arising from their participation, sales, or conduct
APPLICATION AND APPROVAL
• Vendors must complete the vendor application to be considered for the event
• Submission of the application does not guarantee a vendor space
• Approved vendors will receive payment instructions to reserve a table
• Vendor spaces are limited and assigned on a first approved basis
• West Valley TCG Expo reserves the right to refuse or remove vendors at its sole discretion
SALES AND TAX COMPLIANCE
• Vendors are solely responsible for all sales, transactions, and customer interactions conducted at their table
• Vendors are solely responsible for complying with all federal, state, and local tax laws, including Arizona Transaction Privilege Tax (TPT)
• Vendors must maintain any required licenses and provide documentation upon request
• Vendors confirm they have a valid Arizona TPT license or qualify as a casual seller under Arizona law
• West Valley TCG Expo does not collect or verify tax licenses but requires vendor acknowledgment of compliance
• Failure to comply may result in removal from the event and/or restriction from future events
WEST VALLEY TCG EXPO EVENT RULES, POLICIES & SCHOOL GROUND GUIDELINES
To help maintain a safe, respectful, and family-friendly environment, all vendors, guests, attendees, and staff must follow the rules and policies below while attending West Valley TCG Expo on school property.
GENERAL CONDUCT
• Treat all guests, vendors, staff, students, and families with respect
• Any disruptive behavior may result in removal from the event
SCHOOL PROPERTY RULES
• This event is hosted on active school grounds. All school district rules and Arizona state laws apply during the event
• Restricted or unauthorized access to school classrooms, offices, hallways, or staff-only areas is prohibited
• Attendees must follow all directions given by West Valley TCG Expo staff, school staff, security personnel, or law enforcement
PROHIBITED ITEMS & ACTIVITIES
• Weapons of any kind unless authorized by law enforcement
• Illegal substances or alcohol
• Smoking, vaping, or tobacco use on school grounds
• Unauthorized gambling or raffles
• Fighting, intimidation, or disorderly conduct
FAMILY-FRIENDLY ENVIRONMENT
• West Valley TCG Expo is designed to be welcoming for collectors of all ages
• Please keep conversations, displays, music, and conduct appropriate for children and families
• Parents and guardians are responsible for supervising minors attending the event
SAFETY & SECURITY
• In the event of an emergency, follow instructions from event staff immediately
• Suspicious activity should be reported to the hosts table or security personnel
• West Valley TCG Expo reserves the right to inspect bags or items if safety concerns arise
ENFORCEMENT
• Failure to follow these rules, school policies, or local laws may result in removal from the event
• Vendors may be suspended from future events
• Buckeye Police Department may be contacted if necessary
